Square-foot pricing is the one thing every flex shop bills by, and the one thing most generic billing software gets wrong. Here's how it actually works, and where hand calculation quietly costs shops money.
The basic formula
Square footage for a flex banner is simply width (in feet) ร height (in feet). A 10 ft ร 4 ft banner is 40 sq.ft. Multiply that by your rate per sq.ft, and you have the price for that item. Simple on one banner โ but a real invoice rarely has just one.
Where hand calculation breaks down
- Mixed units on one bill โ a banner priced per sq.ft, stickers priced per piece, and a design charge as a flat fee, all on the same invoice. Adding these up by hand, under counter pressure, is where mistakes creep in.
- Rounding differences โ rounding each item's total slightly differently adds up to a wrong bill total over many line items.
- Rate changes โ vinyl and ink costs shift, so your per-sq.ft rate changes over time. Remembering the current rate for every material, in your head, at the counter, isn't reliable.
- Minimum sizing โ many shops apply a minimum sq.ft charge for small banners. That rule has to be applied consistently, not remembered case by case.
What a proper sq.ft billing app should do
- Take width and height, calculate the sq.ft and the total automatically โ no separate calculator.
- Let you switch between sq.ft and per-item pricing on the same invoice, for banners, stickers and one-way vision together.
- Store your current rate per material, so it's applied the same way every time, and updates the moment you change it.
- Add CGST/SGST on top of the calculated total automatically, so the sq.ft math and the GST math never conflict.

Unlimited Webs Flex Billing calculates square footage instantly, mixes it with per-item pricing on one bill, and auto-splits GST on the total โ no separate calculator needed.
